Assisting Students in applying for Study Abroad

Deadlines

Students: Completed applications are due on the following dates. You can start an application by clicking the "apply now" button on your selected study abroad program. Remember, you can only submit one application per term.
-February 15 for summer, fall. academic year programs
-September 15 for winter/spring program

Faculty: If you wish to lead a short term study abroad program, proposals are due by the following dates.  Please note that you will be proposing programs a year before they are scheduled to run.
-October 15 for the following fall semester
-March 15 for the following spring semester

Terra Dotta
The application for study abroad is being administered through a software called Terra Dotta.  Advisors will receive an individual email generated by the student in the application process. You will complete the recommendation on-line.  Please find at the link here: further instructions on how to complete the on-line recommendation format.

When looking at a Short Term course, look to see when the student needs to be enrolled. Most winter courses have the student enrolled in both the fall and spring. The costs are usually split between fall and spring. Two winter courses (Thailand/India and the Dominican Republic) are entirely enrolled in spring. The summer travel is generally enrolled in spring and summer.

This is important to the students as costs billed in fall and spring can be included in financial aid packages. Costs in summer are not included in financial aid. Credits in fall and spring must be considered when counting overall credits to avoid overload fees.
 
Encourage students to contact faculty of record for the course. The staff of the CIE may not know if the course is full.
 
Limited Enrollment
Please note that the most competitive programs – i.e. limited enrollment sites - do require a review of the International Education Committee (IEC) for placement. Some students will not be placed at their program of first choice if they are applying for these sites.  The IEC does take into consideration the recommendation letters that support students for placement at a limited enrollment site. You may want to consider offering more information in support of these applications in your recommendation. It is unlikely that a student will be approved for placement at two limited enrollment sites. The limited enrollment sites are http://juniata.terradotta.com/?go=LimitedEnrollmentPrograms
 
Limited Enrollment Surcharge
If a student wants to be placed at two LE sites or attend one LE site for a full year, a surcharge will be imposed. The students will find the following text in two places on Terra Dotta:
 
Juniata encourages study abroad for all students. There are some program sites abroad which are designated as Limited Enrollment (LE). The LE designation indicates that a program has limited spaces for enrollment because of either increased institutional costs and/or competitive placement, i.e. higher requirements for placement. The program sites to be designated as limited enrollment will be determined on a year-to year-basis by the Dean of International Education. The number of placements available at each site will also be determined on a year-to year-basis by the Dean of International Education. Not all applicants who apply may be offered placement at a study abroad site designated as limited enrollment. LE programs usually have higher minimum GPA and other requirements such as additional application requirements in the case of internship placements. The International Education Committee will review the applicants for limited enrollment placement separately from the non-LE sites in December each year.

A student may apply for two sites that are designated limited enrollment within an academic year, but if placed at both sites the student will be required to pay a surcharge of $5,000 - $10,000 as determined by the Dean of International Education and based on budgetary impact. The student will be apprised of the surcharge at the time of notification for placement on study abroad.

Study Abroad Program Development

Whether you are interested in beginning a short-term or a semester/year-long program, make sure you submit the New Program Request to the Registrar's office. Be sure also to consult College Travel Policies for bringing students off campus.

A good first step to explore study abroad program development is to begin a SHORT TERM program.

SHORT TERM PROGRAM DEVELOPMENT

Faculty/staff who have led, lead, or are planning to lead Juniata-developed programs or go abroad with students are required to attend two workshops:

  • Program Development: Learning outcomes, academic structure, assessment
  • Safety & Liability: Organizational and program resources and health, safety and security

The Faculty-Led Short-Term Study Abroad Course Development Handbook is intended to help facilitate a rigorous academic experience for students aligned with the Institutional Learning Outcomes and a rewarding teaching experience for faculty.

SEMESTER OR YEAR PROGRAM DEVELOPMENT

If you are interested in adding a new semester or year-long program to Juniata's offerings, the procedure established by the International Education Committee to add new programs is:

  1. An academic department chair submits an official, written request (e-mail to the Dean of the CIE) to consider a program as Juniata-approved on a one-time basis. 
  2. The department should identify one or two students who would participate in the pilot year.  The students should be made aware that it is a pilot, and they might not receive the support to which Juniata students are normally accustomed. 
  3. It is helpful if a faculty member and/or a CIE staff member can visit the program while the students are participating. 
  4. Once the students return from their experience, the CIE and the academic department in question evaluate the program based on factors such as student support, academic rigor, financial and enrollment sustainability, and potential for an exchange.

International Initiatives

Juniata’s faculty and staff hold a wealth of international experience.  Before you visit a partner institution or other international site, be sure to look over the International Travel Checklist, and speak with colleagues who have been to your destination.  You can view the Faculty/Staff International Experiences page, which includes an International Experiences Database, as well as lists of those who have benefited from CIE Partner Site Visits and the IEC Initiatives Fund.

CIE Partner Site Visits

Juniata's ability to provide study abroad opportunities to our students even in difficult economic times depends on sustaining the strong bonds we have forged with our international partners.  These ties are best supported through partner site visits by staff and especially faculty members, whose professional relationships with colleagues abroad are the lifeblood of our exchange programs. 

In an ongoing effort to nurture the valuable relationships with Juniata's international exchange partners, and to assist faculty and staff in internationalizing the campus, the Center for International Education (CIE) is pleased to provide logistical and financial support for faculty and staff partner site visits. Early each spring semester, the CIE will plan its staff visits to our exchange partners for the following academic year, and then place a call for proposals in the daily announcements to faculty and staff who might wish to accompany CIE staff.  Please look for these annual announcements from the CIE. As you write your proposal, you might want to consult with those who have taken advantage of the CIE Partner Site Visits in the past.

If you would like support to visit a Juniata exchange site on your own during other travels, please contact the CIE.

For all site visits supported by the CIE, faculty and staff are asked to complete and submit the Program Visit Report and the Program Evaluation Rubric.

IEC International Initiatives Fund

If you require support for other international initiatives, you may wish to submit a proposal to the International Education Committee.  Each fall, the IEC will place a call for proposals in the daily announcements to support departmental initiatives towards internationalizing the campus. Feel free to consult with those who have taken advantage of the IEC International Initiatives Fund in the past.

Hosting an International Scholar or Student

Juniata welcomes and supports the visit of international scholars and researchers.  Please ask the potential visitor(s) to complete the J1 Research Scholar / Professor form and return it with a copy of his/her/their passport photo page(s).  The visitor will have to provide proof of financial support for the duration of the intended stay. The hosting department must provide in writing a description of the research and/or other activities of a visiting scholar. The hosting department will ask the Provost of Juniata to approve and sign the J1 application. Please send the following documents to the Center for International Education: copy of passport photo page(s); proof of financial support; completed J1 Research Scholar/Professor form with the signature of the Provost.

Visiting scholars on a J-1 visa must have medical insurance that meets the guidelines of the J-1 program including medical evacuation and repatriation of remains.  This can be accomplished by purchasing a medical insurance plan recommended by Juniata or by providing proof (in English) of comparable alternate health and accident coverage. 

Juniata must verify an applicant’s English language proficiency through a recognized English language test, or by signed documentation from an academic institution or English language school, or through a documented interview conducted by someone in the Center for International Education either in-person, by videoconferencing, or by telephone.

Juniata requests a $2,000 administrative fee to support the request for J-1 exchange visitor sponsorship for Research Scholars/Professors. The $2,000 administrative fee be covered by:

As the J-1 visa is a cultural exchange visa, it is expected that exchange visitors actively participate in cross-cultural activities on the Juniata campus and in the Huntingdon community. We encourage exchange visitors to participate in aspects of campus life at Juniata that might interest them.  We ask that exchange visitors participate in activities which are for the purpose of sharing the language, culture, or history of their home country and culture with the campus and local community. 

The Center for International Education will provide information on the campus community and life in Huntingdon for visiting scholars. Hosting departments must confer in a timely manner with the staff in the Center for International Education about transportation, housing and other support needs.

Other Initiatives

The CIE is happy to support international events and visits on campus when the budget permits. If you would like to request CIE support for an on-campus event, please e-mail the Dean of International Education, if you are requesting less than $200. For larger support, please have the chair of the department in question send a formal written (e-mail) request to the Dean of International Education indicating the total cost of the event and the contribution you are requesting from the CIE.
